Terms of Service
Last updated: October 1, 2026
These Terms of Service (“Terms”) govern access to and use of RepairDesk Pro (the “Service”), a cloud-based software platform operated by AT VirtuALL Services(“AT VirtuALL Services”, “we”, “us” or “our”), a business based in Bangalore, Karnataka, India. By creating an account, accessing, or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Acceptance of Terms
By registering for or using RepairDesk Pro, you confirm that you have read, understood and agree to these Terms, along with our Privacy Policy and our Cancellation & Refund Policy. We may update these Terms from time to time as described in Section 19 below.
2. Eligibility and Account Responsibility
You must be legally capable of entering into a binding contract to use the Service. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Notify us promptly at info@atvirtuallservices.com if you suspect any unauthorized use of your account.
3. Business and Organization Accounts
RepairDesk Pro is designed for use by repair and service businesses. When you create an organization/business account, you represent that you have the authority to bind that business to these Terms, and that any team members you invite will comply with them. You are responsible for the actions of users you invite into your organization, and for managing their access and permissions within the Service.
4. Subscription Plans and Free Trial
RepairDesk Pro is offered under paid subscription plans (currently Basic, Plus and Pro, with Enterprise available by separate commercial agreement) described on our pricing page. Paid subscriptions are offered on an annual basis only. Plan features, limits (such as number of stores, team members or job cards per month) and pricing are as shown on RepairDesk Pro at the time you subscribe or renew, or as subsequently communicated to you. Pricing may differ by billing region (for example, India and international).
A free trial, where offered, does not start instantly. It begins with a Business Trial Application, which is subject to mobile number verification, business verification and review and approval by us; we may approve or decline an application. If your application is approved, you will be invited to activate your trial, and the trial period begins only when you activate it. The length of the trial is as shown on RepairDesk Pro at the time. A free trial does not require payment details to begin and converts to a paid subscription only if you choose to subscribe.
5. Billing and Renewal
Paid subscriptions are billed annually, in advance, for each annual subscription period, and renew for a further annual subscription period until cancelled. Monthly billing is not offered. The fees for each annual subscription period, including a renewal, are the pricing applicable to your subscription as shown on RepairDesk Pro or as otherwise communicated to you. By subscribing, you authorize us (or our payment processor) to charge the applicable fees to your chosen payment method for each annual subscription period. It is your responsibility to keep your payment details current.
6. Plan Limits, Upgrades and Downgrades
Each plan is subject to the usage limits described for that plan (such as branches, team members, or monthly job cards), and to the job-card retention and included media/file storage described in Section 6A below. If you exceed these limits, we may ask you to upgrade your plan to continue full use of the Service. Plan upgrades and downgrades are currently handled by our team — contact us at info@atvirtuallservices.com to request a change.
If you move to a plan with lower included job-card retention or lower included storage than your current plan, we will show you a clear warning describing the difference before the change is confirmed, and will record your (or, where a change is made on your behalf, Repair Desk Pro’s) acknowledgement of that warning. Moving to a lower plan does not immediately delete any of your existing data — see Section 6A for how retention actually works.
6A. Data Retention Policy
This section describes three separate things. They are related but distinct, and a change to one does not automatically change another:
- Job-card and repair-history retention — how long your job-card records (customer/device/repair details, statuses, notes) remain part of your plan’s normal, included retention window.
- Media/file storage capacity — how much photo/file storage your plan includes (e.g. job-card photos), which is a separate, independent limit from job-card retention.
- Subscription-expiry / account lifecycle — what happens if your subscription lapses and is not renewed (trial or paid). This is governed entirely by our existing account suspension, archival and recovery process described elsewhere in these Terms (see Sections 8 and 8A) and is not changed by anything in this section.
Included job-card retention and included media/file storage by plan, at the time of writing:
- Basic — 24 months rolling job-card retention; 3 GB included media/file storage.
- Plus — 24 months rolling job-card retention; 5 GB included media/file storage.
- Pro — 60 months rolling job-card retention; 15 GB included media/file storage.
- Enterprise — custom retention and storage as set out in the applicable commercial agreement.
Retention is rolling, not a fixed calendar cutover. For example, a job card created under a Basic plan reaches its normal 24-month retention boundary approximately 24 months after it was created — not 24 months after your account was created, and not on some shared date that applies to every customer at once. Creating new job cards never “overwrites” or displaces older ones; each job card is tracked against its own retention boundary independently.
A job card (or associated media) that has passed its plan’s applicable retention period may eventually become eligible for deletion under a future, separately audited retention-cleanup process. As of the date on this page, Repair Desk Pro has not activated any automatic deletion of job-card or media data on the basis of elapsed retention — this Section 6A describes the plan entitlement and the policy framework, not a live automatic-deletion mechanism. If and when automatic retention cleanup is activated in a future phase, we will update this page and provide reasonable advance notice.
We recommend exporting any records you wish to preserve beyond your plan’s included retention period, or moving to a plan with a longer retention window where available, before relying on data remaining accessible indefinitely.
Financial and legal records are handled separately. Invoices, payment records, and other records we may be required to keep for accounting, tax, or other legal purposes are not automatically deleted merely because a job card’s retention period has elapsed. Retention of such records is governed by applicable law and our own recordkeeping obligations, independent of the job-card retention figures above.
This Data Retention Policy does not change, shorten, or otherwise affect the separate subscription-expiry and account-lifecycle process described in Sections 8 and 8A — an expired or cancelled subscription is handled entirely under that existing process, on its own timeline.
7. Cancellation
To cancel your subscription, contact us at info@atvirtuallservices.com. Cancellation is currently processed by our team rather than through a self-service control within the Service — we will confirm the effective date of cancellation with you and stop future billing accordingly. How already-paid subscription periods are treated is described in our Cancellation & Refund Policy.
8. Account Suspension and Termination
We may suspend or terminate your access to the Service if you violate these Terms, misuse the Service, fail to pay applicable fees, or if required to do so by law. Where practicable, we will make reasonable efforts to notify you before suspension or termination. You may also close your account at any time by contacting us.
8A. Paid Subscription Lapse, Archive and Deletion Lifecycle
This section describes what happens to an organization’s account if a paid subscription lapses and is not renewed. It applies to organizations that have held a paid subscription with us. It does not apply to organizations that have only ever used a free trial without ever converting to a paid plan — the lifecycle for trial-only organizations is separate and is not described in this section.
It also does not apply to an organization your business has archived yourself, or that we have archived manually for a reason other than a lapsed paid subscription (see “Manual archives” below) — the automatic timeline in this section applies specifically to a paid subscription that lapses and is not renewed.
Phase 1 — Subscription expiry and restricted access (up to 90 days).
- If a paid subscription expires and is not renewed, the organization’s account enters a restricted, largely read-only period.
- This period lasts up to 90 days from the date the subscription lapsed.
- During this period, users may continue to access permitted read-only and recovery functionality made available within the Service, but operational writes (such as creating new job cards) are restricted.
- You may reactivate your subscription at any time during this period to resume full access.
- Your data is not automatically deleted merely because a paid subscription has expired.
Phase 2 — Automatic archive for subscription lapse.
- If the paid subscription remains continuously lapsed for 90 days without renewal, the organization’s account may be automatically archived on that basis.
- Once archived, normal application access is further restricted.
- Your data is retained during an additional recovery period described below, and you may seek reactivation of the account during that period, subject to our applicable authorization, subscription/payment and administrative procedures at the time.
Phase 3 — Archived recovery period (up to a further 90 days).
Following an automatic archive for subscription lapse, we retain the organization’s data for up to a further 90 days as a recovery window. Taken together, an organization whose paid subscription remains continuously lapsed normally reaches the permanent- deletion stage described below at approximately 180 days after the original subscription lapse — that is, up to 90 days of restricted access followed by up to a further 90 days of archived recovery.
Phase 4 — Permanent deletion.
- If the organization remains continuously lapsed through both periods above, we may permanently delete the organization’s account and associated business/customer data from our active production systems.
- This deletion may be initiated automatically by our systems, on the basis of the elapsed timeline described above — it does not require you to separately request deletion at that stage.
- Once permanent deletion has completed, recovery of the deleted account or data through the Service is not guaranteed and may not be possible.
Manual archives. An organization that is archived manually (for example, by administrative action for a reason other than a lapsed paid subscription) is handled differently: it is not automatically subject to the permanent-deletion timeline described above merely because it is archived. A manually archived organization is retained until we take a separate, explicit action with respect to it.
Statutory and legal retention. Regardless of the timeline above, we may retain information for longer where reasonably necessary or required for applicable law, tax or accounting requirements, fraud prevention, security, dispute resolution, enforcement of our agreements, other legitimate legal claims, or regulatory obligations. This section does not promise deletion where applicable law requires us to keep information.
Backups and residual copies. Deleting an organization’s data from our active production systems does not necessarily mean every copy of that data is instantly and permanently gone everywhere. Limited residual copies may temporarily remain in backups, logs, disaster-recovery systems, or similar protected systems until they are overwritten or deleted in the ordinary course under our normal retention cycles, subject to applicable legal and security requirements. Such residual copies are not active, customer-accessible production data and are not restored to production as part of the ordinary course of our operations.
Relationship to job-card retention (Section 6A). This lifecycle is separate from, and independent of, the plan-based job-card retention windows described in Section 6A. Job-card retention describes how long a given job card remains within your plan’s normal, included retention window while your subscription is active; this Section 8A describes what happens to the organization’s account and data as a whole if a paid subscription itself lapses and is not renewed. A job card can be well within its plan’s retention window and still become subject to this section if the underlying subscription lapses.
Exporting your data. Export functionality, where available in the Service, may be more limited once an account is restricted or archived than while a subscription is active. We encourage you to export any records you are required to retain for your own legal, tax or business purposes during the initial restricted/reactivation period described in Phase 1, rather than waiting until later in this lifecycle.
Notices. We may provide notices related to this lifecycle — including around subscription expiry, an approaching automatic archive, an archive having occurred, and an approaching permanent deletion — to the email address registered on your account and/or through in-product notices. We do not guarantee that any individual notice will always be successfully delivered or seen (for example, if your registered email address is out of date or a message is filtered by your email provider), and the timeline in this section does not depend on successful delivery of any particular notice. You remain responsible for keeping your account’s contact information accurate and for monitoring your subscription status.
9. Acceptable Use
You agree not to use the Service to:
- Violate any applicable law or regulation;
- Upload or transmit unlawful, harmful, or infringing content;
- Attempt to gain unauthorized access to any account, system or data;
- Interfere with or disrupt the integrity or performance of the Service;
- Reverse-engineer, resell, or misuse the Service outside its intended purpose.
10. Your Business and Customer Data
As a service business using RepairDesk Pro, you are responsible for the accuracy of the customer, device and job information you enter into the Service, and for having any necessary rights or consents to store and process that information (including your own customers’ personal data) within the Service. See our Privacy Policy for how we handle data you submit.
11. Intellectual Property
The Service, including its software, design, branding and underlying technology, is the property of AT VirtuALL Services and its licensors and is protected by applicable intellectual property laws. These Terms do not grant you any ownership rights in the Service. You retain ownership of the business and customer data you submit to the Service.
12. Third-Party Services
The Service may rely on or integrate with third-party infrastructure providers (for example, hosting, database, authentication, email and messaging providers) to operate. We are not responsible for the independent acts or omissions of such third parties, but we take reasonable care in selecting providers used to deliver the Service.
13. Service Availability
We aim to keep the Service available and reliable, but we do not guarantee uninterrupted or error-free operation. The Service may occasionally be unavailable for maintenance, updates, or reasons outside our reasonable control.
14. Modifications to the Service

17. Indemnity
You agree to indemnify and hold AT VirtuALL Services harmless from any claims, losses, or expenses arising from your misuse of the Service, your violation of these Terms, or your violation of any third party’s rights, including in relation to data you submit to the Service.
18. Governing Law and Disputes

Subject to applicable law, the courts at Bangalore, Karnataka, India shall have jurisdiction over any disputes arising from these Terms or your use of the Service. Before pursuing formal action, please contact us at info@atvirtuallservices.com so we can attempt to resolve the matter directly.
19. Changes to These Terms
We may update these Terms from time to time. Each published version is tracked internally by a version identifier; when you complete onboarding, our system records your acceptance of the specific Terms and Privacy Policy versions in force at that time. Material changes will be reflected by updating the “Last updated” date above, and where appropriate, communicated to you directly. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms; for material changes, we may separately ask you to re-confirm your acceptance.
These Terms are not legal advice. They describe how the Service and our commercial policies work; they are not a substitute for independent legal advice about your own business’s obligations, including in relation to your own customers’ data.
